Terms and Conditions

 

Welcome to Sunehara Safaris. These terms and conditions outline the rules and regulations for the use of our services. By booking with us, you agree to comply with and be bound by the following terms and conditions. Please read them carefully.

Rates and details as published on the Website on date of booking shall apply and are subject to change without prior notice. Sunehara Safaris is not obliged to notify any person or entity of any amendments or change to the conditions. Prices relating to the bookings will be indicated during the booking process.

Booking Process

Reservation

All reservations must be made through Sunehara Safaris via email, phone, or our official website. A booking is confirmed when a deposit is received. The person who completes the Booking Form does so on behalf of all persons named therein and all are subject to these conditions.

Deposit

A non-refundable deposit of 60% of the total cost is required at the time of booking. The deposit confirms your reservation and ensures accommodation, transportation, and other services as specified in your booking.

Final Payment

The remaining balance must be paid no later than 30 days before the tour commencement date. Failure to do so may result in the cancellation of your booking and loss of deposit.

Payment Procedure

Always use the Booking Reference Number on the proof of payment. Email the proof of payment to your booking consultant or to info@suneharasafaris.com. It is imperative to have your proof of payment and booking confirmation with you at time of check-in.

Check ALL booking details on the Booking Summary received. Advise your booking consultant of any incorrect booking details or changes immediately. It is the duty of the purchaser to check the final Booking Summary. Payment is strictly 72 hours (3 days) after receipt of the Booking Summary, failing which, the booking will be deleted from the system without prior notice. The status of the Booking Summary is provisional and will only be converted to confirmed, once the full payment reflects on our bank statement. Bookings are subject to availability at the time of the booking.

If you have any special requests (such as dietary requirements) these must be noted on the booking form at the time you confirm your booking. We shall do our best to meet your requirements but we cannot guarantee that they will be provided.

All additional payments made at Lodges can be done with major credit cards.

DINER and AMERICAN EXPRESS CARDS are no longer accepted.

 

Cancellation Policy

By the Client

Payment for the tour is a fundamental part of the tour’s income and contributes to the overall cost of equipment, running costs, staffing, administration, etc. As the Company will have incurred the majority of its costs before the tour starts, we need to impose cancellation charges to cover these costs.

Deposits are non-refundable. If you cancel your booking, the following cancellation charges will apply:

·       30 days or more prior to departure – loss of deposit

·       16 to 29 days before departure – 50% of tour cost

·       11 to 15 days before departure – 70% of tour cost

·       8 to 10 days before departure – 80% of tour cost

·       7 days or fewer before departure – 100% of tour cost

Tailor-made tours for 10 persons or more is subject to alternative cancellation terms which will be communicated to client at the time of booking.

All cancellations must be in writing and be made by the person who submitted the booking form. Please send an email to your contact at Sunehara Safaris, with a copy to info@suneharasafaris.com.

Once the tour has started, no refund for any unused portion or part of the tour or services to be provided will be given. If you want to make any changes to the tour, or depart the tour early, such alteration or departure will be entirely at your own expense and liability. You will also need to communicate in writing your reason for leaving the tour.

Sunehara Safaris reserves the right to cancel or make minor changes to the tour itinerary without notification to the client, for reasons including but not limited to force majeure, unsafe conditions, or unforeseen operational difficulties. In such cases, should we have to cancel for some reason other

than failure to pay on your part, we will offer a full refund or alternative arrangements of equal value. In the case of cancellation due to force majeure, we regret that no refunds or compensation will be entertained.

Sunehara Safaris will not be held responsible for any costs or expenses incurred by you as a result of force majeure which includes any event which we the supplier of the service(s) in question could not, even with all due care, foresee or avoid such as, for example, war or threat of war, civil strife, natural or nuclear disaster, industrial dispute, terrorist activity, adverse weather conditions, fire and all similar events.

 

Changes and Modifications

Client Requests

If you wish to modify your booking, please inform us as soon as possible. We will do our best to accommodate your requests, but additional charges may apply.

Changes by Sunehara Safaris

Sunehara Safaris reserves the right to make alterations to the itinerary due to unforeseen circumstances such as weather, local conditions, or events beyond our control. Any significant changes will be communicated to clients as soon as possible.

Travel Insurance

All clients are required to purchase suitable travel insurance on payment of the deposit. Travel insurance must cover personal injury, medical expenses, emergency evacuation/repatriation to your home country, cancellation, and loss of luggage. Sunehara Safaris is not liable for any costs incurred due to inadequate or non-existent insurance coverage.

It is also the responsibility of the client(s) to ensure that they are in possession of a current passport with at least 6 months validity and all other documents required for your safari (such as valid visa(s), vaccinations, etc.). Sunehara Safaris will not be liable if you fail to do so and you will be responsible for meeting any additional costs incurred by reason of such failure.

Health and Safety

Health Requirements

Clients are responsible for ensuring they meet the necessary health requirements for their selected tour, including vaccinations and medications. Sunehara Safaris will not be responsible for any medical costs incurred during the trip.

Fitness and Ability

Certain tours may require a specific level of physical fitness. Clients must ensure that they are physically capable of participating in activities and excursions.

Liability

Sunehara Safaris acts solely as a booking agent for hotels, transport, and other suppliers. We will not be liable for any injury, loss, damage, accident, delay, or irregularity arising from the actions or omissions of such third parties.

Force Majeure

Sunehara Safaris shall not be held responsible for failure to perform any obligation due to causes beyond our control, including but not limited to war, strikes, natural disasters, pandemics, or government restrictions.

Complaints

If you encounter any issues during your tour, please inform your guide or contact us immediately so we can address the problem. Any complaints should be submitted in writing within 10 days of the end of your tour. It is unreasonable to take NO action whilst on safari, then write a complaint upon return. In all such cases no complaint will be entertained.

Behaviour

We reserve the right in our absolute discretion to terminate without notice the safari arrangements of any client whose behaviour is such that it is likely in our opinion to cause distress, damage, danger or annoyance to our other clients, employees, property, any third party, to the animals or to themselves. If you are prevented from travelling because in the opinion of any person in authority you appear to be unfit to travel or likely to cause discomfort or disturbance to other passengers our responsibility for your safari thereupon ceases. Full cancellation charges will apply and we will be under no obligation whatsoever for any refund, compensation or costs you may incur

Photography and Marketing

Sunehara Safaris reserves the right to use any photographs or video footage taken during the tour for promotional purposes unless clients expressly request otherwise in writing prior to the tour.

Governing Law

These terms and conditions are governed by the laws of Namibia. Any disputes arising under or in connection with these terms and conditions shall be subject to the exclusive jurisdiction of the courts in Namibia.

Acceptance of Terms

By booking with Sunehara Safaris, you acknowledge that you have read, understood, and agreed to these terms and conditions.
